Privacy policy

Dr. Catherine Wellness LLC (“Dr. Catherine,” “we,” “us,” or “our”) operates the websites www.drcatherine.com and related sub‑domains, our online shop, email newsletters, mobile applications and any other platform or interactive service that links to this Privacy Policy (collectively, the “Services”).

In addition to our core website, we rely on a number of trusted partners to help deliver a personalized experience, including Shopify (our e‑commerce platform), Mangomint (appointment scheduling and customer management), Substack (email newsletters), Kit and Klaviyo (email and SMS marketing) and social‑media advertising tools such as Meta/Facebook, TikTok and Google. Mangomint also supports SMS messaging so that we can send appointment reminders and promotional text messages, and we occasionally share educational content on platforms like Facebook, Instagram, TikTok and Google for advertising purposes. This policy explains how we collect, use, share and protect your personal information when you interact with us across these channels and describes your choices and rights. By using our Services, you consent to the practices described here; if you disagree, please discontinue use of our Services.

1 Scope

This policy applies to information we collect online through our Services. It does not apply to information collected offline or to the privacy practices of other companies, even if our Services link to their websites. We are not responsible for the privacy practices of Shopify, Mangomint, Substack, Kit, Klaviyo or any other third‑party service; please review their policies for details.

2 Minors

Our Services are intended for adults. You must be at least 18 years of age to use the Services. If you are under 18, a parent or legal guardian must give written consent on your behalf. We do not knowingly collect personal information from children without such consent. If you are a parent or legal guardian of a minor and believe we have collected information from them, please email us at hello@drcatherine.com with a written statement either authorizing the minor’s use of our Services or requesting that their account be deleted. Once we receive verifiable parental consent, we will collect and process the minor’s information in accordance with our regular membership procedures. If you request deletion, we will make commercially reasonable efforts to remove the minor’s information from our systems.

We do not knowingly share information about minors with our advertising partners. Our advertising integrations are configured to respect platform requirements regarding minors.

3 Information We Collect

3.1 Information you provide to us

We collect personal information that you voluntarily provide, including:

  • Identity and contact information: your name, email address, postal address, phone number, gender and referral source. This is necessary to book appointments, create a membership, deliver orders and send confirmations.

  • Account details: username, password and profile details (for example, if you create a customer account).

  • Payment and billing information: credit or debit card details and billing address so we can process payments for products or services. Our payment processing is handled by third‑party providers such as Shopify and Mangomint; we do not store full payment card numbers.

  • Wellness and medical information: when you book services that involve health‑related information (for example, a med‑spa treatment), we may collect information about your health history or preferences through our booking platform. Mangomint handles this data as our service provider and is HIPAA compliant.

  • Optional information: you may choose to provide additional details such as date of birth, nationality or preferences to help us personalize your experience.

  • Communications: when you contact us by email, phone or chat or post comments on our site, we collect the information you share and may record chat sessions with your permission.

When you choose to participate in our SMS program (see §5 below), you will be asked to provide your mobile number and explicit written consent. We record your consent and the date/time it was obtained and retain this information for at least four years to comply with the Telephone Consumer Protection Act (TCPA) requirements. If you withdraw your consent by replying “STOP,” we will note the withdrawal and cease marketing texts to that number.

3.2 Information we receive from third parties

We also receive personal information about you from our service providers and partners:

  • Booking platforms: Mangomint may provide us with your name, email address, appointment details, products and services purchased, and any notes you or your provider record in order to manage your appointments.

  • E‑commerce platform: Shopify sends us order information (such as items purchased, shipping address and transaction total) so we can fulfill your order and manage our business.

  • Email and SMS marketing: Klaviyo and Substack share your contact information and engagement data (for example, whether you opened a newsletter).

  • Marketing tools: Kit and similar apps may provide insights about how you interact with our marketing campaigns.

3.3 Information collected automatically

When you use our Services we automatically collect certain information:

  • Device and usage data: your IP address, browser type, operating system (including version, language, date and time settings), device identifiers, referring pages (the site you visited before ours), exit pages (the site you visit after leaving our site), pages viewed, app usage, mouse movements, clicks and time spent on pages.

  • Transactional information: details of products or services purchased, including subscription details, price, date and time.

  • Cookies and similar technologies: we use cookies, web beacons and analytics tools (like Google Analytics) to store preferences, authenticate users, detect fraud, analyze usage, deliver interest‑based advertising and measure the effectiveness of our marketing. Cookies are small files placed on your device; you can instruct your browser to refuse cookies, but doing so may limit some functionality.

  • Location data: we may collect your approximate geographic location from your IP address.

3.4 Marketing and advertising data

In order to advertise our products and share relevant content, we use third‑party marketing tools including the Meta Pixel, TikTok Pixel, Google Ads/Analytics and other device data collection tools (“DDCTs”). When you visit our website, these tools may collect “event data” about your device and browsing behaviour – such as pages viewed, actions taken (for example, adding items to your cart), IP address, browser type, device identifiers, and approximate location. We may also share hashed versions of your email address or phone number with partners like Meta and TikTok to build custom audiences. These partners use the data to measure ad performance, create and refine audience segments and display personalized ads. We provide a clear disclosure that our site uses third‑party tracking technologies, explain the types of data collected and how they are used, and provide an opt‑out mechanism. Google requires that we describe how we collect and use customer data, explain how third‑party vendors (including Google) use cookies or device identifiers, and provide instructions for opting out of personalized advertising.

We respect regional privacy laws and platform requirements. Before implementing marketing pixels that place cookies or track your activity, we will obtain any required consent via our cookie banner. You may opt out of personalized advertising as described below.

In accordance with U.S. state privacy laws governing cross‑context behavioural advertising, we disclose in this Policy that we share personal information (such as hashed contact details and event data) with specific advertising partners including Meta/Facebook, TikTok and Google. These disclosures may be deemed a “sale” or “share” of personal information under certain laws. We therefore provide a “Do Not Sell or Share My Personal Information” link and honour Global Privacy Control signals to enable visitors to opt out. A best practice is to list each company that we allow to place pixel tags or cookies and provide links to their advertising privacy pages; we have done so above.

3.5 Aggregated or de‑identified data

We may create aggregated or de‑identified data from personal information. This data cannot be used to identify you and may be used for analytics, marketing and improvement of our Services.

4 How We Use Your Information

We use the information we collect to:

  • Provide, maintain and improve our Services. This includes creating and managing your account, processing orders and payments, booking appointments, managing memberships, storing your preferences and customizing your experience.

  • Respond to you. We use your information to communicate with you about your appointments, purchases, questions or concerns.

  • Send newsletters and marketing. With your consent, we use your contact information to send newsletters via Substack and marketing emails or SMS via Klaviyo. You can opt out of marketing communications at any time by clicking “unsubscribe” in our emails or replying “STOP” to SMS messages. Appointment confirmations and receipts will continue unless you request otherwise.

  • Improve our Services and understand usage. We analyze usage trends and perform research to better understand how users interact with our Services, measure the effectiveness of our marketing and develop new services.

    • Personalize content and advertising. We may use your information to tailor our communications and advertisements to your interests. In particular, we build “custom audiences” for advertising on Meta/Facebook, TikTok and Google using hashed versions of your contact details (for example, your email or phone number) and event data collected via cookies and pixels. These platforms use the data to measure ad performance and show you relevant ads. We do not share sensitive personal data or data about minors for advertising purposes and will honour opt‑out requests as required by law.

    • Ensure security, prevent fraud and comply with financial regulations. We may use and retain your information to prevent, detect and respond to fraud, unauthorized activities and security incidents. This includes maintaining records of your personal and payment information to satisfy anti‑money‑laundering (AML) and fraud‑monitoring obligations and other financial regulations that apply to our business.

  • Comply with legal obligations. We process your information as necessary to comply with applicable laws, respond to legal requests and enforce our agreements.

  • Other purposes. We may use your information for purposes disclosed to you at the time of collection or with your consent.

5 Promotional Communications and Consent

We value your preferences:

  • Email marketing. We may send promotional emails about new services, products or special offers. You can unsubscribe at any time by clicking “unsubscribe” in our emails. Transactional emails such as receipts and appointment confirmations are sent separately; if you unsubscribe from them you will not receive receipts.

  • SMS reminders and marketing. SMS messages require your explicit, written consent. We partner with Mangomint and Klaviyo to send appointment reminders, wellness tips and promotional messages. We collect your phone number only when you opt in to receive these messages and will not share your opt‑in status or consent with any third party for unrelated purposes. We record your consent (including the date and time it was obtained) and retain it for at least four years to comply with the TCPA’s statute of limitations. Our call‑to‑action forms disclose the nature of our program, expected message frequency and provide links to these Terms and our Privacy Policy. You may reply “HELP” for assistance and can opt out at any time by replying “STOP” or contacting us; after you opt out, we will not send you promotional texts for at least 12 months. Transactional texts such as appointment confirmations may continue unless you ask us to stop them.

  • Abandoned cart reminders. If you add items to your cart but do not complete your purchase, we may use cookies to determine when your cart has been abandoned and send you a reminder. You may opt out of abandoned cart reminders at any time.

6 How We Share Your Information

We respect your privacy and only share personal information as described below:

  • Service providers and partners. We share your information with our service providers who need it to perform functions on our behalf, such as payment processors, hosting providers, appointment scheduling platforms and marketing partners. These providers are required to protect your information and use it only for the purposes for which it was shared.

  • Third‑party apps and integrations. If you choose to use third‑party services (such as loyalty programs or marketing apps) that integrate with our Services, they may access certain information from your account. We encourage you to review the privacy policies of any third‑party service you use.

    • Business, marketing and advertising partners. We may share aggregated or de‑identified information with business partners for analytics, marketing and product development. When we advertise on platforms like Meta/Facebook, TikTok and Google, we may also share hashed versions of your email address or phone number, along with event data collected via cookies or pixels, to create custom or lookalike audiences and measure the performance of our ads. These partners are prohibited from using our custom audiences for other advertisers and must comply with applicable privacy laws. You can opt out of this sharing by following the instructions in the “Your Choices and Rights” section.

    • Legal compliance and protection. We may disclose information to comply with laws, regulations, court orders or other legal processes (including anti‑money‑laundering and fraud‑monitoring laws), to investigate or prevent fraud or harm, or to protect the rights and safety of our customers, employees or others.

  • Business transfers. If we participate in a merger, acquisition, restructuring or sale of assets, your information may be transferred as part of that transaction.

  • With your consent. We may share information for any other purpose disclosed to you at the time of collection or with your consent.

  • Public content. If you post comments, reviews or other content in public areas of our site, that information will be accessible by others.

7 Retention, Storage and Security

We store your personal information only for as long as needed to provide our Services, comply with our legal obligations, resolve disputes and enforce our agreements. We retain email and marketing preferences until you unsubscribe or request deletion.

Your information may be processed and stored in the United States or other countries where we or our service providers operate. We implement reasonable technical and organizational measures to protect your information, including encrypted transmission (SSL/TLS) and secure servers. However, no method of transmission or storage is completely secure. For our SMS program we maintain an electronic record of your opt‑in for at least four years to comply with federal record‑keeping requirements.

8 Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete or port your personal information, and to opt out of certain processing or sharing. We will not discriminate against you for exercising your privacy rights.

9 Account Security

You are responsible for maintaining the confidentiality of your password and any device used to access our Services. Do not share your password with anyone. We will never ask you to send your password or payment information by email. If you suspect unauthorized access, please change your password immediately and contact us at hello@drcatherine.com.

10 Cookies and Tracking Technologies

We use cookies, pixels and similar technologies to enable key functionality, remember your preferences, analyze traffic and deliver personalized advertising. These include the Meta Pixel, TikTok Pixel and Google Analytics/Ads tags, which place small files on your device to track your interactions with our site and share event data with these partners. We use this information to understand how visitors use our site, measure the effectiveness of our marketing and show you relevant ads. Where required by law, we display a cookie banner and obtain your consent before dropping advertising cookies. You can control cookies and tracking tools through your browser settings, by using opt‑out tools provided by our advertising partners or by adjusting your preferences through the “Do Not Sell or Share My Personal Information” link in our footer. 11 Third‑Party Links

Our Services may contain links to third‑party websites or apps and may include embedded social‑media content or share buttons that allow you to interact with platforms like Facebook, Instagram, TikTok and Google. We are not responsible for the privacy practices of those third parties. When you engage with these features (for example, by following a link or liking a post) those platforms may collect data about you pursuant to their own privacy policies. We encourage you to review their policies and adjust your privacy settings accordingly.

12 Changes to This Privacy Policy

We may update this Privacy Policy periodically. We will post the updated policy with a new effective date and may notify you by email or through the Services. Your continued use of the Services after we make changes means you accept the updated policy.
